Sound advice, Donna-Marie. As a long-time “IT guy,” I’ve always tried to stress the importance of backing up the irreplaceable stuff, like emails. As you said, most people simply don’t take the time to prepare. I think this behavior is due to a lack of payoff: putting a lot of effort towards making a backup that will most likely never be used. They know they should, but it’s much easier not to and they’re willing to roll the dice, so to speak.

That’s also the reason why I gave up trying to get people to do backups and instead set about making the act of backing up as simple as possible by eliminating all the software and hardware necessary to backup. This is what I came up with:

I do agree it’s important to prioritise and managing emails in folders makes life a bit easier, BUT……. it’s imperative you check emails very often throughout the day if you want to impress your clients with a rapid response. We had a client who manufactured reticulated truck trays – BIG ticket item. They didn’t check their emails for months and missed out on millions of dollars of potential sales because they didn’t respond immediately.

I NEVER turn off automatic alerts – both audio and visual.
DON’T wait to deal with emails during your ‘down time’- be hyper responsive.

Another tip – if you submit a ticket, don’t submit another one 20 minutes after the first one abusing the help desk for not answering your ticket. If you don’t hear back within 24 hours then a polite follow up is fine if the matter is urgent. Help desk people have other clients who need a hand, they also have the right to grab a bite to eat and take toilet breaks (or even sleep). Give help desk people a break!
